Document Name: Personnel Screening Policy
Version: 1.0
Approved by: Directors, Immercial Limited
Review Frequency: Annual or upon material change
Immercial Limited applies proportionate screening to personnel before appointment or before granting access to business, client or information assets.
Immercial is currently a director-led micro-business and does not employ a regular workforce. Screening requirements are therefore applied when relevant personnel, employees, contractors or other individuals are appointed.
Depending on the role, information-access level, contractual requirements and identified risks, screening may include:
- verification of identity;
- confirmation of qualifications or professional experience where relevant;
- references or previous employment checks where proportionate;
- verification of legal entitlement to work where applicable;
- additional checks where required by law, regulation, client contract or the sensitivity of the role.
Screening must be lawful, proportionate and limited to information necessary for the role.
Where an individual’s responsibilities, access privileges or risk profile materially change, the need for further or updated checks is considered.
Contractors and external specialists are additionally subject to Immercial’s supplier and competence controls where applicable.
Screening information is treated as confidential personal information and retained only as necessary in accordance with Immercial’s privacy, information-security and record-control arrangements.
The Directors are responsible for approving and overseeing screening requirements.
